Forms are a field team’s best friend for quickly capturing data during Place visits. In this article we’ll walk you through four ways you can review Form data from the field, for real-time execution checks to summary reports at scale. Let’s get started!
- View results in real-time on the Activity Feed
- View summaries and trends with Reports
- Drill down to store-level execution on the Place List
- Build custom reports with Insights Dashboards
View results in real-time on the Activity Feed
The Activity Feed is your live news feed of all the work your team does in the field. Every time one of your reps submits a form you’ll see it appear in real-time on the feed. Simply click on it to view all the details, including answers to questions, photos, and signatures captured in the form.
The Activity Feed allows you to view the results of just one form submission at a time, alongside details about where and when it was submitted. This makes the Activity Feed best for real-time coaching since you can get a quick look at execution quality and get in touch with reps while they’re still in the field.
View summaries and trends with Reports
Most teams use forms not just to share details from individual place visits, but to get a broader picture of execution at scale. That’s where Reports come in. Form Reports give you an at-a-glance summary of responses for each question in a form (except for short text, long text, barcode, and product) so you can quickly understand trends in execution across multiple form submissions.
In the Summary tab, you’ll find visual charts that summarize response trends for each question. You can filter this data to display trends for a certain time period, for places with certain attributes, or even to only include data from submissions in which a question was answered a certain way (e.g. show me all data from form responses at our “Tier 1” stores, or where the answer to question 2 was “yes”).
The Submissions tab shows you the data behind the trends, revealing the complete details for every form response. Just like in the Summary tab, you can filter these submissions to display details for a certain time period, for places with certain attributes, or forms containing certain responses.
Drill down to store-level execution on the Place List
Form Reports make it easy to surface execution trends and spot areas for improvement. Once you’ve identified gaps you’d like your field team to close, the Place list makes it easy to drill down and take action where execution is lagging.
By default, the Place list shows you all of your customer locations. But with just a few filters you can drill down and pull a list of Places where form responses were less than ideal, and deploy a rep to take further action. Try filtering your place list by Form, then selecting a question and response to drill down on. You can add further filters such as “Activity completion” or “Days since the last check-in” to refine your list and only see Places where the form was completed recently, or where your team hasn’t reported data in a while.
Once you’ve used your form data to drill in on Places where you want to take action, it’s easy to schedule a visit for your team to follow up. Simply select the places and click “schedule a visit” from the action bar at the bottom of the page.
Build custom reports with Insights Dashboards
For teams that want to see data from several different forms side-by-side on a single dashboard, or who want to view form data alongside data about team activity and performance, Insights Dashboards are for you.
Insights Dashboards users work with our analytics team to configure reports specifically designed to meet their unique needs. These custom dashboards are perfect for surfacing top-level success metrics your team tracks in forms, such as displays built, samples handed out, voids filled, etc.
Insights Dashboards give you complete flexibility in how you view your data, with advanced filters to create unique views by territory, team, account, rep, and more. It’s easy to save filtered views so you can give each member of your team access to the data that’s most meaningful to them, and you can set reports to automatically send to your most important stakeholders on a set schedule.
