The Rule Builder framework is the foundation for rule-based automation and conditional question responses. Choose between these to set up how your forms show up and perform:
- Limit form submission by date
- Limit form submission to scheduled visits
- Limit form visibility to project visits
Rule: Limit form visibility to project visits
This rule ensures forms are accessible only when included in a Project Visit, tightly aligning them with structured, project-based workflows. By restricting forms to their intended program context, teams can improve data consistency, increase compliance, reduce reporting noise, and drive higher-quality execution across large-scale initiatives.
- Accessing Rule Builder
Admins open the Rules tab in the Form Builder and select Limit form visibility to project visits.
2. Setting Up the Rule
Admin selects the Projects where this form should be available to be added to Project visits
The rule enforces:
- Only selected project visits can expose this form to a representative.
- The form is hidden everywhere else unless previously attached to a visit.
Form Behavior
- When part of a project visit:
Form is visible to the representative only during that visit, consistent with the project’s assigned tasks. Admins can add that form only to the selected project visits and not to other projects or visits. - Outside project visits:
Form is hidden from all general access points:
- Web: hidden from form task list when creating a new non-project visit or editing an existing non-project visit
- Mobile: hidden from place form lists, Frequent Tasks, + Add Form). (Same behavior as Limit Form Visibility to Scheduled Visits Rule) - If a project visit is edited to include the form:
The form becomes available on that visit. - If the form was previously added to a visit:
Form remains accessible during that visit, even if the general visibility rule hides it elsewhere.
Important: Form Behavior When a Project Rule is added in combination with a Date Rule
Form continues to be hidden outside of Project visits, but now the Project visit date matters:
- Form visible only on project visits whose visit date falls within the selected dates in the Date rule.
- If the form is added to a project visit that occurs outside the Date rule’s date range, the form is hidden on that visit.
- Rule Management
- The rule counter reflects the active rule.
- Admins can remove or update the rule at any time.
- Removing the rule restores normal visibility behavior.
If the form was included within any previously scheduled visits - whether project visits or regular visits - the form will remain available for that visit regardless of other visibility restrictions, following Repsly’s standard precedence rule that “scheduled tasks override visibility restrictions.”
This rule is part of the growing Rule Builder library and is closely aligned with Project Visit Variation and Project Visit Import, enabling precise and scalable control of program-based data collection.
