One of the great benefits of Repsly is to keep your team organized and focus on the right accounts and business opportunities. The tools that help managers and team group, organize and manage their places most efficiently are the Representative and Territory assignment. Based on your business model, managers can choose between the two, and in the following article, we explain the difference and the benefits of these features.
Assigning reps directly to places
If you choose to assign your team directly to individual places you have the following benefits:
- multiple reps can be assigned to individual places
- reps can only see the accounts assigned to them
- when adding a new account, it can be automatically assigned to your reps
There are three ways to assign representatives to places:
- From individual place profile in the Places tab.
- mporting the place list with rep assignment added to the list.
- By assigning representatives in bulk using the Actions tab.
In the Actions tab, back-office users can assign certain reps, un-assign other reps, and leave already assigned reps on Places in one bulk action.
Optional settings for managing rep assignments can be found in Application Settings under Representatives. From there, managers can choose to activate the Assign representative to new place option. If turned on, when a representative creates a place via the mobile app, they will be assigned to that place
Another optional setting is to Restrict places on mobile app by Representative - Rep can access only places assigned to him/her.
PRO TIP: Before assigning representatives to places, especially when adding new team members or accounts it could be very helpful to filter your places in the Actions tab using various criteria that you can save as segments for further use cases. Some possible filters are Place Tags, Place Status, Days since last check-in, Form questions. For more information about filtering please look at our Actions section.
Assigning reps to Territories
If you choose to assign your team directly to (multiple) Territories you have the following benefits:
- keep your team organized
- see all accounts in their region
- use the Territories filter in Repsly reports to segment your data
- assign and/or restrict other back-office users to Territories
To assign representatives to Territories you have to create your list of territories first and then assign each individual territory for each rep and place. Make sure each place and rep has a territory for this assignment to be seamless.
Territories are created by clicking on the Gear Icon, then Settings and choosing the Territories heading. From there you can create your Territories, deactivate or reactivate them. We have a detailed guide on this link: How to create and manage Territories for my Reps and Places?
Once the Territories are created, they can be assigned to a representative from the representative profile.
The value of creating Territories is that once you have your places divided into Territories you can assign your representatives to specific Territories. You can assign as many representatives in a Territory as you want and you can assign reps to multiple Territories as well.
As a back-office user in the Activities screen and the Actions tab, you can always filter by Territory and in that way have a better overview of the places and activities in specific Territories. From the Actions tab, managers can assign Territories to multiple places in bulk and schedule subscribers can take action with mass scheduling.
Another optional setting is to Restrict places on the mobile app by Representative - Rep can access only places in assigned Territory.
