Having schedule control from the back office allows Managers to see where and when his or her representatives are set to complete activities. With this feature available a manager can field a call and immediately create an event in the schedule that allows the reps to make the necessary visits.
How to add a New Visit
Click on "Schedule" tab
Click on "New visit" to schedule a New Visit
You can choose a Due date and select 'Set as due date' and that visit will be visible to representatives every day up to that date.
Note: If representatives have a scheduled more than one visit to the same place. They will be able to choose which scheduled visit they want to complete.
You can assign tasks that need to be completed during the visit. A task can be any activity (Photo, Note, Forms, Retail Audit or Order).
There are no limitations to how many tasks a rep can be assigned in one visit.
IMPORTANT: Tasks can be set as mandatory on a company level, and this will disable a
check-out as well as Pause Day functionality for a rep until ALL the assigned activities are submitted/completed.
Choose an activity to be performed as a task. If you want to add multiple tasks, click on green '+' button to add additional tasks.
To ensure a tight scheduling process, alerts can be sent if specific conditions are met.
These 'conditions' can be: visit missed, done, or late.
Alerts can be sent to one or multiple back-office users and are triggered based on the condition as follows:
- If missed: after predefined visit duration passes (or after midnight, if set to 'anytime').
- If done: upon the rep's check-out from that visit.
- If late: 15 minutes after the scheduled visit's start time.
Note: Scheduled visits with a due date are considered missed after midnight.
